Who we are
Oakleaf Press is a trading name of Red Squirrel Publishing Ltd, registered in England and Wales, company number 15779721. Our registered office is Plum Tree Farm, Wormley Hill, Sykehouse, Goole, DN14 9AG. We are the controller of the personal data described here. You can contact us at support@oakleaf-press.com.
If you are a Managed EU Hosting customer, the data your app holds about your own members is covered separately by our data processing agreement. For that data you are the controller and we are your processor.
What we collect
- Contact form: your name, email address, your message and the time you sent it.
- Compatibility check form: your name and email address, the link to your app, the platform it is built with, where your business and your app's members are based, roughly how many members it has, and anything you add in your message.
- Emails you send us: your email address and what you write.
- Business prospecting: for relevant UK businesses, we may record business contact names, job roles, work email addresses, company details, the source and date we obtained the information, and why our services may be relevant. Sources include Companies House, public business websites and information provided directly to us. We do not treat publicly available personal details as automatic permission to send marketing.
- Visits to this site: our web server records pages requested, time, IP address and browser technical details for operation and security. We also use a first-party, cookie-free measurement script to count page visits and form starts. It does not place analytics cookies or track you across other websites.
- If you buy from our shop: purchases are made on Whop. Whop collects your payment details under its own privacy policy and shares your name, email address and what you bought with us so we can provide the service.
Why we use it, and our lawful basis
- To read and reply to your message or check your app: our legitimate interest in answering the enquiries people send us.
- To provide a service you have bought: to perform our contract with you.
- To send you occasional emails about EU hosting, only if you tick the box asking for them: your consent. You can unsubscribe at any time using the link in every email. We can see which links you click in our emails.
- To maintain security and measure basic page and form engagement using server logs and first-party cookie-free analytics: our legitimate interest in operating and improving our website. We assess the effect on visitors' privacy.
- To identify and contact appropriate business representatives about services relevant to their organisation, where permitted by electronic marketing rules: our legitimate interest in proportionate business development, subject to a documented balancing assessment and your right to object. Where consent is required, we do not rely on legitimate interests instead.
- To keep business records we must keep by law: our legal obligations.
We do not sell your details and we do not use them for automated decisions about you.
Where it is kept and who helps us
- This website, our forms service, our customer records system and our support mailbox run on our own server with DigitalOcean in London, UK.
- Form submissions are also saved in a Google Sheet in our Google Workspace account.
- Payments and shop purchases are handled by Whop, under its own terms and privacy policy.
DigitalOcean and Google are US-headquartered companies. Their services may involve access to or processing of personal data outside the UK. Where a restricted transfer occurs, we assess whether an applicable UK adequacy regulation covers the destination or whether an appropriate transfer mechanism and any supplementary protections are required. You can ask us at support@oakleaf-press.com for information about the safeguards that apply to your data. This notice does not imply that using a UK server prevents every international transfer.
How long we keep it
- Compatibility check requests that do not lead to a purchase: deleted after 30 days, unless you have asked to receive our emails.
- Marketing emails: until you unsubscribe. We keep a record that you unsubscribed so we do not email you again.
- Customer records: for as long as you are a customer, then for as long as the law requires us to keep business and tax records.
- Server logs and website analytics: kept only for operational security, fault investigation and proportionate performance analysis; the retention period is set according to those needs and our documented deletion schedule.
- Business prospect records: reviewed for relevance, accuracy and continuing lawful purpose, then removed when no longer needed. We retain the minimum suppression information necessary to respect an objection or opt-out and prevent further contact.
Your rights
You can ask us to show you the data we hold about you, correct it, delete it, limit how we use it, or give you a copy to take elsewhere. You can object to how we use it, and you can withdraw consent at any time. Write to support@oakleaf-press.com and we will reply within one month.
If you are unhappy with how we have handled your data, you can complain to the Information Commissioner’s Office at ico.org.uk.
Your right to object to direct marketing
You have an absolute right to object at any time to our use of your personal data for direct marketing. If you object, we stop using it for that purpose. You can use the opt-out in a marketing email or contact support@oakleaf-press.com. We may keep minimal suppression information so that we do not contact you again.
If we obtained your business contact information from a public source rather than directly from you, we will make the relevant privacy information available when first contacting you, or earlier where required by law.
Changes
If we change this notice, we will update the date at the top of this page.
